Position Description

Advertised Job Summary

Leads the Office of Student Services providing strategy, structure and guidance, and participates in the leadership team within
the School of Journalism and Mass Communications Student Services area. Supervises staff by applying appropriate management principles according to university policy and procedures. Works in collaboration with the school administration to coordinate academic support services and oversees the academic advising functions including activities pertaining to advising, orientation, maintenance of student records, receptions, awards and graduation activities. Coordinates the assignment of students to a designated advisor. Coordinates the course schedule to appropriately plan for course demand for all majors and minors.
Provides advice and counsel to a set student caseload regarding the curriculum, academic policies, programs and options. Meets with assigned students and provide advisement on course selection and progression requirements. Assists assigned advisees with registration, financial aid, fees, and other university processes when appropriate, referring them to appropriate university services as necessary. Counsels students having academic problems or difficulties and makes support referrals as appropriate.
Effectively utilizes the University’s mainframe and online systems including the Self-Service Carolina, DegreeWorks, and EAB/Pathfinder to assist in course scheduling, registration, monitor academic program and advising.
Works in collaboration with the student services team to coordinate academic support services, academic advising, undergraduate orientation program, and student events. Coordinates undergraduate orientation program and other student events pertaining to CIC programs including new student welcome, parents weekend and awards day.
Coordinates the communication strategy for academic advising to current students including web content, student listserv and newsletters, and social media.
Supports the recruitment activities in collaboration with the Office of Undergraduate Admissions, Visitor’s Center to attract and retain outstanding students. Assists with recruiting events sponsored by USC Admissions including Open House and Admitted Student Day.
Maintains strong connections with university resources and serves frequently as a student affairs liaison to the offices including: University Registrar, Student Financial Services, Student Information Services, Academic Information Systems, International Students and Scholars Office, University Health Services, Counseling and Psychological Services, and Office of Disability Services.

Minimum Qualifications (Classified and Unclassified positions)

Master’s in Student Personnel Services, Education or related field and 3 years experience in student services area.

Must be detail orientated, self-motivated, and able to work independently and carefully manage multiple responsibilities simultaneously with short deadlines in a high-volume environment. Must have excellent interpersonal, communication and organizational skills. Must have an ability to work with changing priorities and multiple projects in a high-volume environment. Knowledge of student information systems required. Knowledge and experience in academic advising. Proficiency in Microsoft Office software required. Effective written and oral communication skills required. Must be able to work with a diverse student body, faculty and administrators. Ability and willingness to work evenings and some weekends is expected.

Preferred Qualifications

Experience with academic advising in higher educational setting. Experience with working with college students is preferred in one or more of the following areas: academic advising, curriculum planning and college teaching; supporting and advising graduate students; program planning; general student affairs administration within a diverse campus in an urban setting. Supervisory experience preferred


Knowledge of principles and theories of student development ad higher education administration. Knowledge of techniques of individual and group counseling. Knowledge of the academic policies and procedures of the University and College of Information and Communications. Excellent communication skills and the ability to establish and maintain effective working relationships with students, parents, faculty, staff, and the general public. Proficiency in computer applications, electronic mail systems, and online University systems.
